Personal Data We Collect
- Website enquiry information including name, email, phone number, company, service required, site/location, and message.
- Service records including CCTV footage, incident logs, assignment records, key holding records, and alarm response records.
- Staff, applicant, contractor, and supplier information needed for employment, vetting, payroll, training, and compliance.
Why We Use Data
We process personal data where necessary for contract performance, legal obligation, legitimate interests, consent where required, and the establishment or defence of legal claims.
Who We Share Data With
Where necessary we may share data with the SIA, police and emergency services, venue operators, payroll providers, insurers, professional advisers, approved IT and workforce systems including C247, and other organisations where legally required.
Retention
Employment records are normally retained for at least 7 years. Incident logs are normally retained for at least 3 years. CCTV and operational records are retained only for as long as necessary, unless required for investigation, insurance, legal, or contractual purposes.
Your Rights
You have rights of access, rectification, erasure, restriction, portability, objection, and the right to withdraw consent where processing is based on consent. You also have the right to complain to the ICO at www.ico.org.uk.
CCTV
Where KBG captures or processes CCTV footage on client sites or KBG premises, footage is handled in line with UK GDPR, the Data Protection Act 2018, ICO guidance, contractual requirements, and appropriate retention schedules.
